using a folder synchronization service

Another way to make your Zotero library portable is to use a folder synchronization service, like iDisk for Macs or FolderShare for Windows or Mac. Like using Zotero over a network, you

  • select the appropriate drive using the Preferences→Advanced menu
  • and make sure that you keep your Zotero library only open on one computer.

Read the documentation on Zotero over a network for more details.

Some specific guidelines regarding the most popular services are below.

iDisk (.Mac accounts)

The official documentation about Mac's iDisk is at http://www.mac.com. Once you've connected to your .Mac account, you should see your iDisk in the Finder.

Once you've selected a directory for your Zotero library, you'll see files show up. For example, if you select the top level, then you will see:

If you already use iDisk, the following screen is familiar:

This allows for nice possibilities:

  • If you decide to create a copy of iDisk on your computer so that you work while not connected to the Internet – the iDisk Syncing On/Off Option – make sure that your local copy is synced with your “real” iDisk before you access the library from another computer. This is necessary if you go with the manual option.
  • The Public Folder share option nicely allows your colleagues and friends to view your Zotero library as well.

FolderShare

FolderShare also allows you to sync your Zotero libraries. Once you've set up your accounts on your computers, simply specify the directories that you want to keep in sync through the “Sync My Folders” option. In the example below, work_computer and home_computer both have a dedicated directory titled “zotero_library.”

Syncing is set to “Automatic Sync,” which means that FolderShare will take care of everything for you. Just make sure that your computers have connections to the Internet, and keep your Firefox/Zotero open and running on only one computer at a time. Otherwise you may lose data or corrupt your library. If you've left Firefox running on a computer with a synced folder, you may have to restart restart Firefox in order to get any latest changes.

With FolderShare, you can also invite people to view your library without giving them write permissions. Clicking on the “Invite” link next to your Zotero library folder (in lower third of the screenshot above) will allow you to send invitations to your colleagues and friends (they will have to join FolderShare). If you haven't synced your Zotero library across multiple computers, click the large “Share with Friends” button in the middle of the pane to begin.

If you decide not to use “Automatic Sync,” remember that you need to keep your folders in sync manually.
