What’s going on?]] frequently_asked_questions#How do I uninstall Zotero? ====== Most Frequently Asked Questions ====== ===How do I back up my Zotero library?=== The best way to back up your Zotero library is to close Firefox and then copy the Zotero folder, stored in a subdirectory of your Firefox profile directory, to an external drive. The Zotero folder holds your database and all the related files (images, PDFs, webpages, etc.) and can usually be found in these locations: On a Mac: \\ /Users//Library/Application Support/Firefox/Profiles//zotero On Windows 2000/XP: \\ C:\Documents and Settings\\Application Data\Mozilla\Firefox\Profiles\\zotero On Windows Vista: \\ C:\Users\\AppData\Roaming\Mozilla\Firefox\Profiles\\zotero You can locate your Zotero data by going to the Zotero preferences under the Actions (gear icon) menu and clicking “Show data directory” in the Advanced pane. By backing up this directory you will back up your entire Zotero library. If something drastic happens (hard drive melts, computer is stolen, etc.), you can simply place your archived backup Zotero folder into your new Firefox profile with Firefox closed. When you open Firefox, your Zotero library will be there waiting for you (after you reinstall Zotero, if necessary). As with all important data, it is a good idea to back up your Zotero data frequently. ===How can I access my library from multiple computers? Can I store my Zotero library and associated files on an external drive?=== You can conveniently transport your Zotero library from one machine to another, accessing your data from any computer. The first step is to install a portable version of the Firefox web browser (available for Windows and Mac) on an external storage device (such as a removable/USB drive, portable hard drive, or iPod) and use Zotero within that. Download and install Zotero in Portable Firefox just as you would in your regular Firefox profile directory. For other ways to transfer your data, see our import/export documentation. ===I have bibliographies in Microsoft Word documents, PDFs, and other text files. Can I import them into my Zotero collection?=== No. Zotero cannot currently import items from bibliographies in plain text documents. While this may sound like a simple request, it is actually particularly difficult to accomplish. If you have these references in a bibliographic database, export them to an intermediate format, like RIS or BibTeX, and then import the references into Zotero. Otherwise, your best option is to either manually enter the references or find them online in a repository that Zotero supports. ===Will I be able to use Zotero with Internet Explorer or some other browser?=== No. We cannot reproduce the functionality of Zotero in most other browsers due to their lack of equivalent support for extensions. Many of Zotero's advanced features, such as the ability to sense and grab citations from web pages, are only possible because Firefox exposes all of its underlying functionality to extension developers. Microsoft and many other browser creators don’t allow extension developers to call on more than a tiny fraction of their code. This explanation may be no solace for inveterate IE users, but we hope that IE users who like the functionality of Zotero will give Firefox a try. ===How do I add an edited volume or a book chapter?=== A book chapter from an edited volume is entered as a "Book Section". Click the green new item button and select "Book Section". You will now see both a "Title" field for the chapter title and a separate "Book Title" field. To add a editor click the + sign on the author line in the right column. This will create an additional Author line. If you click the triangle to the left of the new author field you will be able to change it to an editor. ===Where does Zotero store my references and notes?=== Zotero stores everything on your computer in a subdirectory of your Firefox profile directory. That is why Zotero can be used offline as well. In most cases, you will find your Zotero files here: On a Mac: \\ /Users//Library/Application Support/Firefox/Profiles//zotero On Windows: \\ C:\Documents and Settings\\Application Data\Mozilla\Firefox\Profiles\\zotero On Windows Vista: \\ C:\Users\\AppData\Roaming\Mozilla\Firefox\Profiles\\zotero You can locate your Zotero data by going to the Zotero preferences under the Actions (gear icon) menu and clicking “Show data directory” in the Advanced pane. In the near future, there will be ways of storing and syncing Zotero collections remotely. ===What is the difference between Links and Snapshots?=== When you save a link to your library Zotero will save the ability to return to the site. When you save a snapshot to your library Zotero saves a copy of the page as it currently is and archives it on your computer. ======Capturing and Creating Items====== ===How do I add a letter or memo?=== Click the green new item button and select "Letter." Use Author for the sender of the letter. To add a recipient click the + sign on the author line in the right column. This will create an additional Author line. If you click the triangle to the left of the new author field you will be able to change Author to Recipient. Enter the type of letter (memo, telegram, etc.) in the "Type" field. On entering archival information, see How do I add an archival or other unpublished source?. ===How do I add an archival or other unpublished source?=== Click the green new item button and select "Manuscript." Enter the type of source (press release, draft, field notes, lecture notes, etc.) in the "Type" field. Use "Loc. in Archive" field to enter location of the document, i.e. box, folder, record group, etc. Use "Repository" field to enter the name of the archive or collection. On adding letters, see How do I add a letter or memo?. ===Sometimes the icon for a book/article/etc doesn’t appear in the address bar right away. What’s going on?=== Zotero must wait for the entire page to load before it can check for an item on the page. Sometimes there are elements of the page (a large image, e.g.) that take time to load and thus delay Zotero’s activity. ===What if there is no icon?=== Generally, that means we have not yet developed a Zotero translator for that site. See our list of supported sites and resources. ===I see two icons after the URL. What does that mean?=== Sometimes you will also see an orange icon indicating that an RSS feed is available. The Zotero icon should appear first. ===Why do I get an error when I try to save an article or book from a site?=== There may be several reasons for this error. First, many collections “time out” if you haven’t been using them for a certain amount of time, so while the record for that article or book may still appear on the site, Zotero can no longer communicate with the site to download information from it. Occasionally one of our “translators” for a site may break; we will receive notification of this and update the system as fast as we can. ===A snapshot only captures the first of multiple pages of a New York Times article. How do I get Zotero to capture the full article?=== The web snapshot feature only captures the current page. Many sites, like the New York Times, will only display part of the document you are interested in on the first page. A general rule for working around this issue is to look for a printer friendly version. This will generate a page that has all of the document available on one page. You can now capture the full text by clicking on the newspaper icon that appears in your location bar. ===My snapshot is unreadable because flash ads appear on top of article text. How do I get a better snapshot?=== Look for a printer friendly version, then save the snapshot. Print versions of articles usually only have one ad on top and their snapshots are easier to read. ===How do I manually add a bibliographic item?=== You can also manually add items to your collection by clicking on the green circle with a plus icon above the middle column, selecting the appropriate item type, and filling in the bibliographic details in the right column. New items will appear in the “My Library” folder and can be organized into other folders. ===Can I save a page that does not have a Zotero icon in the location bar at the top of my Firefox window?=== Yes you can: you can take a web snapshot. A web snapshot allows you to retain the presentation of a particular web page at any time, even if the original is later altered or removed. After browsing to the web page you want to preserve, click on the camera icon in the middle of your Zotero pane. A new web snapshot item will appear in the item list. Click on View Snapshot on the right-hand side to view the file. You can drag the snapshot over an existing item to make it a child of that item in the center pane. ====== Managing Your Collections ====== ===How do I open and close my Zotero pane?=== Click on the Zotero icon at the bottom of your Mozilla Firefox browser window to open the pane. You can add a Zotero icon to your toolbar at the top of your browser window by clicking on View → Toolbars → Customize. You can close the pane by clicking the Zotero icon (either in toolbar or on bottom of your browser window or by clicking on the X icon on the right. You can also open or close pane from the keyboard: ctrl-alt-Z on Windows or shift-command-Z on a Mac). ===Can I make the font in my Zotero pane bigger?=== Yes, you can easily change the font size. Click the gear icon above your left column and choose "Preferences" from the drop-down menu. Make sure the "General" tab is highlighted, and then select either "medium" or "large" font in the "User Interface" section. When you restart FireFox your font will display in the new size. ===Can I open snapshots in a new tab or window?=== Yes. Control-clicking (Cmd-clicking on a Mac) the "View Snapshot" button opens snapshots in a new tab behind the current one, control-shift-clicking opens in a new front tab, and shift-clicking opens in a new window. ===How do I change the size of my Zotero pane?=== You can toggle between a full screen and a smaller screen by clicking on the toggle icon on the right side of the Zotero pane. You can also click and drag your Zotero pane to resize it. You can place your Zotero pane either at the bottom of your page or at the top by clicking on the Zotero gear icon and selecting Preferences. ===How do I save my work?=== Zotero automatically saves everything as you enter it. ===How do I automatically add a book? === Find a book on your library catalog website. A Zotero book icon will appear in the location bar at the top of your Firefox window. Click on the icon, and the bibliographic information will appear on the right side of your Zotero pane. You can then add notes, attachments, and tags. You can also edit citation information. If the page has more than one book, clicking the folder icon will give you the opportunity to select which books you want to add. ===How do I automatically add an article?=== Find an article in an article database such as JSTOR or Proquest. A Zotero article icon will appear in the location bar at the top of your Firefox window. Click on the icon, and the bibliographic information will appear on the right-hand side of your Zotero pane. You can then add notes, attachments, and tags. If the page has more than one article, clicking the folder icon will give you the opportunity to select which articles you want to add. ===How can I edit citation information?=== The information you download from a library catalog may contain errors or different formats from that library's MARC records. Click on the information you want to change and a text box will appear, allowing you to edit text. You can change the item type using the drop-down menu at the top of the pane. You can add or delete creators by clicking on the plus or minus signs, and you can change the creator type (//author//, //contributor//, etc.) by clicking on the type label to the left of the name. Clicking the single or double boxes to the right of the name toggles between a single field (for some Asian names, organizations, etc.) and double fields (//lastname, firstname//). ===How do I attach a file or web page to an item?=== After adding an item to your library, click on the Attachments tab in the right-hand section of the Zotero pane. A pull-down menu will allow you to add a link to a file stored elsewhere on your hard disk, copy a file to your Zotero storage directory, add a link to the current web page, or save a snapshot of the current web page. ===How do I store a copy of a file in my Zotero library?=== The easiest way to store a copy of a file in your Zotero library is to drag it into your library. You can also click on the green and white "New Item" icon at the top left of the middle column in your Zotero window. Select "Store Copy of File" from the pull-down menu and browse your hard disk for the file or files you'd like to add. Once selected, they will be copied to your Zotero storage directory and will show up as independent items in your library rather than as attachments to existing items. ===What is the difference between Links and Snapshots?=== When you save a link to your library Zotero will save the ability to return to the site. When you save a snapshot to your library Zotero saves a copy of the page as it currently is and archives it on your computer. ===What ways can I organize and manage my collections?=== “My Library” holds every item in your collection. To organize these items, you can create folders and subfolders on the left side of your Zotero pane. Click on the New Collection icon to create a new folder. You can create a subfolder by creating a new collection and dragging it into another collection. To rename a collection, right-click on it (control-click on Macs) and select "Rename Collection." Drag in items from the middle pane to add them to a collection. You can add an item to several different folders, and they will all reference the same item from your Library. To view the items in each folder, click on the folder on the left pane and the list will appear in the middle pane. You can also organize your collection through tags. Click on an item in the middle pane. Now select the “Tags” tab that appears above the item’s information in the right-hand pane. Click “Add” and type specific information about the given item. Now select the tag selector icon above the left-hand pane to toggle the tag selector pane into view. You will notice that any tags you have created on individual items appear here. You can click on these terms and your center pane will update to display only the items that have the selected tags. From the tag selector pane you can also apply a tag to an item or group of items by selecting the items in your center pane and dragging them over the tag in the tag selector pane. ===Can I change the way items are sorted in my library?=== Yes, you can sort your Zotero library and individual collections within it alphabetically, numerically, and chronologically (in ascending or descending order) according to different criteria. For example, you can sort alphabetically by "Title" or "Creator" by clicking on one or the other field at the top of the center column in your Zotero pane. You can sort numerically by the number of attachments (files, snapshots, links, and notes) associated with reference items: click on the small plus icon to the right of "Creator" and results will display in ascending order (from least to most); click again and they'll display in descending order (most to least). The list of sorting criteria can also be expanded by clicking the spreadsheet icon above the vertical scrollbar and choosing from a menu of fields, including "Date," "Type," "Year," and "Publisher." Your selections will be added to the top of the center pane alongside the other column headings. You can re-order columns by dragging a column heading to the left or right of its original position. Also note that Zotero sorts by Creator, Date, and Date Modified after the main sort column. For example, if you were to specify "Title" as the primary sorting criterion, and your library contained three or more references with the same title, then Zotero would secondarily sort those items by creator. A word about how Date and Year work. While Zotero accepts a free-form date in the Date field for each bibliographic record ("Summer 2006", "Jan 21, 2007", etc.), the entered value is parsed into recognizable parts ("2006-00-00", "2007-01-21", etc.), and these parts are used to sort the field in the middle pane. The Year column also uses the Date field, but only the year portion of it. ===How do I search within my Zotero collection?=== Type a search term in the quick search box in the middle pane. For a more specific search click the advanced search icon above the left pane. The screen will prompt your search with several different search capabilities. Add search terms by clicking on the plus sign. You can name and save your searches for future reference. Any new items added to the library will be picked up automatically in these saved searches. ===What is the best way to move my entire collection to a different computer?=== The best way to move your entire collection to another machine is to copy the Zotero data folder from your Firefox profile on the first machine to the Firefox profile on your new machine. In most cases, you will find your Zotero files here: On a Mac: \\ /Users//Library/Application Support/Firefox/Profiles//zotero On Windows 2000/XP: \\ C:\Documents and Settings\\Application Data\Mozilla\Firefox\Profiles\\zotero On Windows Vista: \\ C:\Users\\AppData\Roaming\Mozilla\Firefox\Profiles\\zotero You can locate your Zotero data by going to the Zotero preferences under the Actions (gear icon) menu and clicking “Show data directory” in the Advanced pane. Be sure to close Firefox on both machines before copying the Zotero files. In the near future, there will be ways of storing and syncing Zotero collections remotely. ====== Import/Export and Creating Bibliographies ====== ===How can I access my library from multiple computers? Can I store my Zotero library and associated files on an external drive?=== You can conveniently transport your Zotero library from one machine to another, accessing your data from any computer. The first step is to install a portable version of the Firefox web browser (available for Windows and Mac) on an external storage device (such as a removable/USB drive, portable hard drive, or iPod) and use Zotero within that. Download and install Zotero in Portable Firefox just as you would in your regular Firefox profile directory. For other ways to transfer your data, see our import/export documentation. ===How do I export my Zotero collection?=== Click on the gear icon and select Export Library. You can either export your notes or your complete Zotero collection. Choose a location for your export. ===How do I import files into Zotero?=== Click on the gear icon and select “Import.” Browse to the location of your file and save it into Zotero. This option works for the following bibliographic file formats: Zotero RDF, MODS (Metadata Object Description Schema), BibTeX, RIS, Refer/BibIX, and Unqualified Dublin Core RDF. You can use Zotero's import and export capabilities to transfer your reference library from one machine to another or from one reference management system to another (you can also use a USB drive to synch your data between computers). For instructions on how to make the switch from Endnote to Zotero, for example, please see our documentation. ===I have two Zotero libraries. How can I combine them?=== You will want to export one library as Zotero RDF and import the .rdf file into the second library. To do this, click the Actions (gear icon) menu and select "Export Library...". The default export format should be "Zotero RDF", which you should leave selected. You can check the boxes for including files and notes if you would like to transfer those to the other library. Click OK, name the RDF file, and choose a destination to save it. You can then e-mail this folder to a friend or colleague or to yourself. From the second Zotero library, click the Actions menu again and select Import. Choose the .rdf file in the folder you created and click OK. This should import the items, combining the two libraries. Note that, due to the way the word processor plugins currently work, any links in existing documents to references that you have exported and then reimported will be lost. This limitation will be addressed in a future version of Zotero. ===How do I create a bibliography?=== Select one or more items using shift-click or ctrl-click, then right click those selected items and select “Create Bibliography” (on a Mac, select items with shift-click and Apple-click and then ctrl-click the selected items). You can also right-click an entire Zotero folder of items (on a Mac, ctrl-click). Choose your desired citation style (APA, Chicago, or MLA), and the output format. You can save the bibliography as a rich text file (RTF), web page (HTML), or copy it to your clipboard. ===I want to format my bibliography in Chicago style. Zotero supports three different versions of that style (author-date, notes and bibliography, and notes without bibliography). What are the differences between them?=== The differences often break down along disciplinary lines. For example, the author-date format is frequently preferred by researchers in the physical, natural, and social sciences, while the notes and bibliography approach finds favor among researchers in literary, historical, and artistic fields. Other factors may also influence a scholar's decision to choose one format over another: for example, if a researcher elects to forgo a bibliography, either by choice or due to space limitations imposed by the publisher, she may instead adopt the Chicago note format (either endnotes or footnotes) independent of a bibliography. In such a situation, full citation information would be included in the notes. The different versions of the system are illustrated here: == author-date == in-text documentation: (Jenkins 2006) \\ bibliographic entry: Jenkins, Henry. 2006. //Convergence Culture: Where Old and New Media Collide//. New York: NYU Press. == bibliographic entry == Jenkins, Henry. //Convergence Culture: Where Old and New Media Collide//. New York: NYU Press, 2006. == note citation in a work without bibliography == Henry Jenkins, //Convergence Culture: Where Old and New Media Collide// (New York: NYU Press, 2006), 56. == note citation in a work with bibliography == Jenkins, //Convergence Culture//, 56. ===How do I turn off automatic capitalization?=== 1) In the Firefox location bar (where you type web addresses), type "about:config" and hit the Enter key. 2) Find "extensions.zotero.capitalizeTitles" in the list. To find it quickly, you can type "capitalize" in the Filter box. 3) Double-click "extensions.zotero.capitalizeTitles" to toggle between the true and false setting. ===How do I print my Zotero references and notes?=== Select the collection or items you would like to print out in your report with your cursor and then right click on them (ctrl-click on a Mac). Select “Generate report from selected item.” A report featuring all of your Zotero information should pop up in your browser. If there are any notes associated with individual items or collections, those will be included with the report. ===What can Zotero search?=== Searches scan all information about items (metadata), notes, and the full text of web pages (as links or snapshots) and text files. You can search through the text of your PDFs by enabling full-text indexing on the Search tab of the Zotero preferences. Zotero does not currently search through Word documents. If you want to search Word documents, save them as plain text (.txt). ====== Notes and Annotations ====== ===How do I take notes in Zotero?=== You can take notes that are attached to individual items or independent of items. To create a note attached to an item, click on the title in the middle pane. Click on the Notes tab in the right pane. Click on Add, and type in your notes. You can add several notes to each item. To create an independent note, click on the New Standalone Note icon in the middle pane. You can add tags to any note by clicking on Tags and typing in information in the right pane. To remove tags, click on the – (minus) sign. ===Can I spell check my notes in Zotero? What about in languages other than English?=== Yes, you can use the Firefox 2.0 built-in spell checker from within Zotero. Misspelled words are underlined in red; right-clicking (or ctrl-clicking on a Mac) will open a menu with a list of suggested spellings; if you highlight one of these, Firefox will substitute it for the misspelled word. To spell check in languages other than English, go to the Firefox Dictionaries Add-ons page, where you can browse for a dictionary in the language of your choice. After installing the dictionary and restarting your browser, right click (ctrl-click on a Mac) from within a Zotero note, highlight "Languages" from the pull-down menu, and select your newly added dictionary. ===How do I sort my notes by page number?=== Notes are sorted alphabetically by default, so you can start each note with the page number, adding leading zeros, i.e. [002], [045], [367]. For multiple notes from the same page, enter [367a], [367b], etc. ===How do I organize my notes into an outline?=== See Using Reports to Organize Your Notes. ===Can I use Zotero's highlighting and annotation tools on PDFs?=== Zotero's annotation features only work with HTML documents. You cannot use them with archived PDFs. You will need to use third party tools to annotate and highlight inside PDFs. ====== Other Languages ====== ===Does Zotero support non-Western characters?=== Yes, we have always intended Zotero to be an international application. Zotero is Unicode-compliant and can process non-Western characters. ===I use Firefox in a Non-English language but I want the bibliography to use English. Can I keep do both?== You can set the bibliography locale by typing about:config into the Firefox address bar, looking for extensions.zotero.export.bibliographyLocale, and entering an appropriate locale code. For example, to use English, set it to en-US. See the chrome manifest for other available codes. ====== Miscellaneous ====== === What does “Zotero” mean? === The name “Zotero” is loosely based on the Albanian (yes, Albanian) word zotëroj, meaning “to acquire, to master,” as in learning. If you are interested in more info see linguist Mark Dingemanse's post on The Etymology of Zotero. ===Zotero seems to be “phoning” home without telling me what it’s doing. What’s going on?=== Similar to other Firefox extensions (and other software in general), Zotero checks periodically for updates from the Center for History and New Media servers. In particular, we are constantly adding support for new catalogs and sites, and we push these changes out to current users once a day. In no way is Zotero reporting on what you’re doing, looking at, etc. We’re just upgrading the software to support more sites. Zotero also sends an error report if a site translator fails to save from a web page. This lets us quickly diagnose and fix problems and ensure continued functionality for users. Translator update checks and error reports can both be disabled from the Zotero preferences. Update checks for Firefox add-ons in general (which, in Zotero's case, will contact either zotero.org or addons.mozilla.org, depending on where you downloaded Zotero from) can be disabled from the Firefox preferences. ===How do I change Zotero preferences?=== There are two ways to access the Zotero Preferences Window. * In Zotero, select "Preferences..." from the Action drop-down menu (the gear icon in the upper right of the pane). * In Firefox Tools menu, select "Add-ons," and then click "Zotero" under the Extensions tab. A Preferences button will appear. ===How do I uninstall Zotero?=== You can uninstall Zotero just like any other Firefox extension by going to the Firefox menu Tools->Add-ons->Extensions tab, selecting Zotero, and clicking “Uninstall.”
